Who we are

This website is operated by Freehand HQ Limited ("Freehand HQ", "we", "us"), a company registered in England and Wales under company number 15955726, with its registered office at 124 City Road, London, EC1V 2NX. We are the controller of the personal data described in this policy. You can contact us about privacy at operations@freehandhq.com.

Information we collect

When you send an enquiry through our website

Our contact form asks for your name, email address, the service you need, your budget range and details of your project, plus your phone number if you choose to give it. We store what you submit on our website's server, send a copy to our team by email so we can reply, and email you a confirmation that we have received it. Only our authorised staff can see enquiries, through a password-protected admin area. We don't record your IP address with your enquiry. To protect the form from spam, our server briefly counts submissions from each IP address; this count is not linked to your enquiry and expires automatically.

When you email or phone us

If you email or phone us, we receive the details you give us, typically your name, email address, phone number, company and the content of your message.

When you visit this website

We don't use analytics, advertising or social media tracking, and we don't set cookies on our public pages. Fonts, scripts and images are served from our own website, so no third party receives information about your visit from us. Like any website, our hosting provider may automatically record technical information in server logs (such as IP address, browser type, the page requested and the time) to keep the site secure and working.

How we use your information

We use the information you send us to reply to your enquiry, discuss and provide our services, and keep appropriate business records. Our lawful bases under UK GDPR are our legitimate interests in responding to enquiries and running our business, and, where you ask us for a proposal or services, taking steps at your request before entering into a contract and performing that contract. Server logs are processed in our legitimate interests in keeping the website secure.

We don't sell your personal data, and we don't use it for automated decision-making.

Who we share it with

We share personal data only with service providers who help us run our business, such as our email and website hosting providers. They act on our instructions and are required to protect your data. We may also disclose information where the law requires it.

International transfers

Where a service provider processes personal data outside the UK, we make sure appropriate safeguards are in place as required by UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement.

How long we keep it

We keep enquiries submitted through our website for up to 24 months, unless they lead to a business relationship, in which case they become part of our client records. We keep other enquiry correspondence only for as long as needed to respond and to manage any resulting business relationship, and business records for as long as UK law requires. Server logs are kept for a limited period by our hosting provider.

Your rights

Under UK data protection law you have the right to access your personal data, have it corrected or erased, restrict or object to its use, and receive it in a portable format. To use any of these rights, email operations@freehandhq.com. We'll respond within one month.

Cookies and similar technologies

Our public website, including the contact form, does not set cookies or use similar storage technologies, so there is no cookie banner. If we ever introduce analytics or other non-essential cookies, we will ask for your consent first, as required by the Privacy and Electronic Communications Regulations (PECR), and update this page.

Complaints

If you have a concern about how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

We'll update this page if the way we handle personal data changes. The date at the top shows when it was last revised.
